This is a place to store video, images and sound associated with a project.
Click the Upload button to add your media. You can either select files or folders from your file system or drag and drop them onto the Upload Media dialog. When dragging media, you can drag folders and/or media files onto the drop zone.
The use AI analysis toggle is on by default. Turn this off if you do not want to use your AI minutes for Video and Audio files. Your AI analysis time allocation is not used for images.
Click the Upload button to start the upload. Depending on the size of your files this could take several hours to complete.
A proxy is a lightweight, lower-resolution version of a high-resolution media file. Proxies allow faster AI processing while preserving the ability to deliver high-resolution files later.
Proxy files must include _proxy before the file extension. Matching is case-insensitive.

The system automatically links proxy and high-resolution files based on their filename.
Proxy first (recommended): Upload the proxy file (e.g. project_promo_proxy.mp4) with AI Analysis enabled. The proxy is processed quickly with AI. Later, upload the matching high-res file (e.g. project_promo.mxf) — it automatically links to the existing record and all AI insights are preserved.
High-res first: Upload the high-res file first, then add a proxy later. The proxy is linked to the existing record.
Only one proxy per media item is allowed. Delete the existing proxy before uploading a new one.
When AI Analysis is triggered, the proxy file is used preferentially for faster, more cost-effective processing.
A confirmation toast message is shown when files are matched.
The search box at the top of the media grid, searches for matching text in the filename, description, and transcript.
Click the filter icon to toggle the filter pane open/closed. With the filter options you can quickly find your media using the various options
Click the Video / Audio / Image icons to include/exclude
Change the sort order by Date Added, Name or Duration. Click the arrow icon to sort ascending/descending
Select one or more tags you have applied to your media
Select one or more keywords found by the AI analysis
Select one or more contributors identified by the AI analysis
Change the maximum duration
You can enter a name and click the Save button to save your search criteria. This is very helpful when you have used multiple criteria and would like to use it again when coming back to your media. Note that any text you have entered in the search box will be saved too.
To use your saved search, select it from the Select Saved Search… drop down.
You can remove your saved search by clicking the trash can icon, within the Select Saved Search… drop down.
Each media card in the grid displays badges to indicate the status of the item:
Original (gray badge) — the original high-resolution file has been uploaded.
Proxy (light blue badge) — a proxy file has been uploaded.
Shared (green badge) — the item is currently shared. Click the badge to view share details.
Hover over any badge to see a tooltip with more detail. On narrower screens, badges abbreviate to O, P, and a share icon to save space.
Media cards display thumbnails in a consistent 16:9 aspect ratio. Portrait images are scaled to fit within the frame with a black background. Items without a thumbnail show a file type icon on a gray background.
Filenames are displayed below the thumbnail, truncated to a maximum of two lines. Hover over a truncated filename to see the full name in a tooltip.
The Actions menu appears when one or media items are selected.
This action allows you to edit the tags associated with the selected media. Add or remove tags using the dialog after selecting the action. Existing tags are populated from tags already applied to media within the current project.
This action allows you to share the selected media via email. The recipient will be able to download the shared media via the link they receive.
This action allows you to stop any shares associated with the selected media. Once the media is unshared the previous share links will not longer work.
This action will open the Add to Rushes Log modal.
You can choose to create a new Rushes Log or add to an existing one.
The Group Transcriptions option, allows you to combine transcription line items into groups based on a duration (30 secs is the default). This helps with readability in the rushes log. Select None if you don’t want to change the original transcription line items.
The fields to include are taken from the Description and Tags applied and the AI analysis - Transcript, Topics, Keywords, Labels, Named Entities, Audio Effects, Emotions, Sentiment and Comments. Select the options you would like to include.
After clicking the Add To Rushes Log button you will be taken to the Rushes Log with the select media information applied.

How to create and edit rushes logs.
Click on any media item in the grid to open the detail page.
For video and image files, the detail page shows resolution, aspect ratio, frame rate, and bitrate. If the file being viewed is a proxy, the label displays Proxy Resolution instead of Resolution.
The same Original, Proxy, and Shared badges from the grid are displayed above the description section. Click the Shared badge to view share details.
For video files that have not yet been processed with AI, a Start AI Analysis option is available in the Actions menu. This sends the video for AI processing, which generates transcripts, topics, keywords, and other insights. If a proxy file is available, it is used for processing. This option is not available for images or media that has already been processed.
When media is shared with external recipients, they can access a download page using the link provided in their email invitation.
If media items have both original and proxy files available, recipients can choose which version to download using the download type selector at the top of the page:
Original — download the high-resolution file.
Proxy — download the lightweight proxy file.
Items that do not have the selected file type are greyed out and cannot be selected. The Select All button only selects items available in the chosen download type.
