Assign tasks and milestones for your project to ensure your team meets deadlines!
Search, or filter the task list to find tasks by keyword or status. Click the column header to sort.
Click the timer icon to start a task, or the tick icon to complete a task without having to open it.
Click the New Task button to create a Task.
Complete the form:
Name - this will be shown on the project tile if set as a Milestone
Description - provide details for the task
Status
Assigned To - project team member who is responsible for completing the task
Due Date
Milestone - toggle to on to set this task as a Milestone
Milestone tasks are displayed on the project home page and the next upcoming Milestone is also shown in the Project tile on the Dashboard.
A Milestone Task marks a key event or significant achievement within your production schedule. Unlike standard tasks, milestones are used to represent deadlines, approvals, major scenes, or phase completions (e.g., "Script Finalised" or "Filming Starts"). Adding milestones helps your team track progress at a glance and ensures everyone is aligned on critical dates.
Delete a Task from the Task list - click the ellipses (…) at the end of the row to show the Actions menu and select Delete. Confirm the deletion in the dialog to delete the task.
The Task Board provides a visual column-based view of all tasks within a project, allowing you to visualise workflow and track task progress through different stages. This view is ideal for managing task priorities and quickly updating task statuses.
From within a project:
Navigate to the project's Tasks section
Click the "Board View" button or icon
Tasks are organised into three fixed status columns:
Not Started (Blue)
Tasks that have been created but work has not yet begun. This is the default status for new tasks.
Active (Orange)
Tasks that are currently in progress and being worked on.
Completed (Green)
Tasks that have been finished and marked as complete.
Each task card displays:
Milestone indicator - A flag icon shows if the task is linked to a milestone
Task name
Due date - Displayed in red if overdue, grey if on schedule
Description - A preview of the task description (truncated if long)
Assigned person - Avatar and name of the assignee
Linked boards - Tags showing which boards this task is connected to
Overdue Task Indicators
Overdue tasks are clearly marked with:
Red border around the entire card
Red due date text
Bold text for emphasis
To change a task's status:
Click and hold on a task card
Drag the card to the desired status column
Release to drop the card
The task status will automatically update in the system.
To add a task directly from the board:
Click the three-dot menu in the "Not Started" column header
Select "New task"
Fill in the task details in the dialogue
Click "Create Task"
Alternatively, click the "+ New task" button at the bottom of the "Not Started" column.
New tasks are always created in the "Not Started" status by default.
To edit task details:
Click once on a task card (a quick click, not a drag)
The task edit dialogue will open
Update any task properties
Click "Update Task" to save changes
Search
Use the search bar at the top of the board to filter tasks by:
Task name
Task description
Assigned person's name
Status Filter
The status filter dropdown allows you to show or hide tasks based on their status:
Not Started - Show/hide not started tasks
Active - Show/hide active tasks
Completed - Show/hide completed tasks
Overdue - Show/hide overdue tasks (regardless of their status)
You can select multiple status filters to view different combinations of tasks.
If a task is linked to project boards:
Click on any board tag at the bottom of the task card
You will be navigated to that specific board
To return to the traditional task list view:
Click the "List View" button in the top-right corner of the card
Users with view permission can see the task board but cannot create, edit, or move tasks
Users with edit permission can create tasks, edit existing tasks, and move tasks between columns
Drag and drop is faster than editing task status through the edit dialogue
Use the search and filter features to focus on specific task subsets
Overdue tasks remain in their current status column but are clearly marked
The board automatically refreshes after task updates to ensure data consistency
Tasks linked to milestones show a flag icon for easy identification
